Admins: Linked Forms
What Is A Linked Sign Up Form?
Linked Sign Up Forms enable some seriously powerful one-to-many personalized services for your agency! Make a Sign Up Form, copy it into your user accounts and voila, they have a Linked Form in their account.
Where this gets extremely powerful is that you can also copy your Sign Up Form automations (like scheduled sends for a Coupon Club) to the form and it will be mirrored in all of your clients' accounts automatically.
On top of that, you can set a User Merge Tag to the short link of your user's Sign Up Form. Boost your mass customization by using theseĀ personalized Sign Up Form links in Email Templates and their Landing Pages.
Put this together with our new Landing Page Merge Tag feature for social templates and you can broadcast your clients' personalized Landing Pages across social media, all with their personal Coupon Club surveys - and it's super scalable for your business!
This is complex stuff! Watch the videos below for more information and don't hesitate to reach out to us for any clarifications.

Part 1 - Creating A Sign Up Form And Copying It Into Sub-User Accounts
Learn how to create Sign Up Forms and how to use the new modal for copying the Forms into your clients' accounts. This will show you how to use teams to copy forms and how to control when and what gets copied.
hello vipcloud admins we're excited to
show you the latest features for signup
forms that are complete Game Changers
this is going to empower you to create
complete personalized workflows for your
customers in a way that is totally
scalable for your business and these can
then be used for coupon clubs which your
users will absolutely love
now we're going to start here with just
the basics this might cover things that
you already know and that is all right
because after all
all of the exciting things that come
down the line start with just creating a
sign up form in your account so
we're going to make this example one
right here
add a couple of fields so that it's
actually a form
and now
we're just going to schedule a send for
this form which can be found over here
in automations
and if you haven't checked this out in
the last couple of weeks
this might look new and we have trigger
automations when someone signs up AKA
creating an autoresponder but you can
also schedule sends which is really
useful for those coupon clubs where you
can say like you know beginning of
October send out an email beginning of
November send out an email it's going to
go to everybody who signed has signed up
thus far
and we're going to do that right now
we're going to schedule a send
now while I'm doing this
it's really important that you know that
when you are when you are scheduling a
send and this is ultimately going to be
sent for your clients use merge tags
everywhere so for the signature make
sure you use a merge tag for that not
your signature because it'll actually be
your signature that goes out so
is your signature and then also here
you'll want to use like
uh any any personal information that's
going to go this will be then like their
user information that is that is uh
merged in so for instance like Facebook
links things like that or job titles
those need to be all used right here
so then when we're ready to schedule our
send okay right here schedule email
let's make this for uh November 1st
and there we go I have now scheduled
this this email to go out
now I want to show you some of the
basics of copying these assignment forms
into your customers accounts so we'll go
over here to sign up forms
and then here is my sign up form as an
example
you'll find this under more
and then it'll be copy signup form
and
that's where we have a bunch of options
that are made available to us
up here we've got the basic just this is
literally like if I want to copy this
into my own account the most basic kind
of copy we can do that
but then here's where the cool stuff
begins where I'm able to do a like a
one-off share basically here with
account actions copy into other users
accounts
and I'm able to choose various teams
that I might want to copy this into now
note here too that these teams are an
opportunity for you to
you know create a paywall basically like
you can you know have a team that is
just for people who subscribe to a
particular package that you offer
and so teams are really useful for that
so here I can choose a team that this
will get shared into
and I have a couple of other options
here for copy autoresponder and
scheduled sends so again like the
scheduled send that I just created I can
opt into either having that copied into
their accounts or not
and of course you can also have an
in-app alert that is sent to them too so
that when the next time that they log in
or if they're logged in at the time
They will receive a notification that
this has been done and it's been put
into their account
and then also here I have a choice of
when adding new users to the account
copy into their account now we are going
to change some of this word in here
um so it's a little bit more clear but
what this really will do too is anybody
who's then even just added to a group
will well if this is checked anybody is
added to a group well then also receive
this uh this template so as an example
um I've got this team right here this is
called newer team and uh if I have a
customer who isn't currently on that
team
but later they are like let's say maybe
it's based on a particular service or
package that I offer they're not
currently subscribed to that package but
then in a month they decide that they
want to do that when I add them to the
newer team
uh right here then
then they will uh that they will receive
this sign up form and again two I have
the option here of copying
autoresponders and scheduled sends when
this happens or not so you have a bunch
of different options here for how this
can
have this sign up form and its
autoresponders and scheduled sends can
all be copied into users accounts
Part 2 - Managing And Auditing Linked Sign Up Forms
Learn how Linked Sign Up Forms work, how to edit your Form so the changes are sent to your sub-users, and how to audit the linked features so you can see who will receive your changes.
This is where you'll learn how to add automations, such as Scheduled Sends, to your Form so they will be sent on behalf of your clients!
all right now we're going to be looking
at how to manage your copied sign up
forms you're going to see these audit
children buttons throughout the system
now and what this does is it is going to
show you what exactly is linked right
now to your copied signup forms and
they're Associated automations and it's
going to make it so that you can look at
everybody all of your customers who are
who have this copied into their accounts
and how it affects them so that way
that way you could tell before you make
any changes whether it's a wanted change
whether it's something you actually want
to be pushed out to your sub users
so for instance with this signup form
here I have shared it with a coupon Club
that I have or team rather I should say
and let's say I'm just wondering who
actually has received this right now so
I can click on that audit children right
there and I'm able to see a list of
every single one of my sub users who has
received this sign up form and I can
even see when it was copied and into
their accounts
and so this makes it really clear like
especially if you hear from somebody say
like hey have I received a signup form
um if you know you can go into here and
find out if it's actually in their
account and point them in the right
direction
so let's go into this signup form and
look in more detail so for instance
we've got the automations tab right here
and there is a scheduled send that's
going to be going out on November 1st
and I can even see again right here that
this has been in fact shared with people
and I can click on here
and I'm able to see a list of all of
those users who have this scheduled
email in their account
now one thing too we're going to go into
this into a little bit more detail later
but you can see here too that
only show unlinked now sub users have
the ability to unlink various aspects of
their signup forms and to help you with
understanding
who is unlinked and therefore not going
to receive this scheduled email I can go
right there just to flip it on its head
and just see those people again to be
able to help with supporting
supporting users
now I'm going to
create a new a couple of new automations
actually I'm going to create an
autoresponder
and this autoresponder it works like the
autoresponders you've I'm sure used in
the past this will be a template that's
just triggered immediately based on
somebody having
uh based on somebody having completed
the sign up form
and you've got this right here copy into
sub user sign up form copies
because this silent form has been copied
into sub users accounts
I can choose whether I want this to go
to them automatically so I'm going to
leave that checked
and I'm going to hit save
and again here we go we've got our audit
Trail right there and I'm going to
schedule another send
and actually I'm going to do before I
actually hit OK on this
um
again we've got the copy option right
there we're going to actually look at it
at a sub user's account really quickly
too
so this is a sub user right here who is
part of that team I go to my sign up
forms
and here is what I have shared in as an
admin into this sub user's account and
also I can see this is a copy from
your admin is what that's indicating
so that also helps a lot with
understanding where this came from and
I'm going to look into that sign up form
and we're going to go into more details
here in a bit but first i'm going to
look at these automations and I just
want to show that
when this is scheduled
it will then appear in this sub users
account
and there we go
that one that was set for December 1st
is now appearing here in this sub users
account
and let's also edit this because what I
want to show you too is how these this
isn't just simply a push that goes out
it's it's a link so maybe I've set up
for the wrong time of day and I want
this to go out at 10 am
I'm going to hit edit schedule
10 am
okay
refresh
and there we go
this is now going to go out at 10 am
so you have complete control based on
these links to be able to continuously
push out these sends again it's very
useful for for coupon clubs where you
can just have that coupon Club sign up
form and push those those additionals
follow-up email sends
as needed and you can even edit those
templates and so this makes it so easy
for your users for your customers to not
have to worry about this stuff and just
know that you're in that you've got them
covered and these are being up to date
plus they can when they're wondering
what's scheduled when is it scheduled
they can go into their accounts as well
as a resource to see what's happening
so what is also for for your users who
maybe are
a bit more advanced or they have people
who are going to update and tweak things
for them
um they can unlink stuff in here so
that's also where this concept of linked
to parent comes in and let's say
somebody actually maybe they actually
don't want that to go out at 10 A.M and
they want it to go out at noon they can
go hit edit schedule
and hit OK and now you'll see right here
now this is an this is unlinked from
parents so they have control
and they're able to take the reins as
needed while only affecting whatever it
is that they just touched so
going back here
I can look at these automations
and
I can hit audit children
and look at this
now this sub user I can see that this is
unlinked therefore changes that I make
will not go to that sub user that's also
where this tab comes in only show on
linked again helping you to audit and
understand who's going to receive things
who's not so if you get those questions
about
why didn't this or that happen you could
tell them well it's because you touched
that particular scheduled send you made
it your own therefore those subsequent
changes that I the admin uh pushed out
there
was not going to affect their template
and this also goes for any other place
where you are able to see
um
you know the concept of linking but I
want to also show you here quickly too
is that there are these buttons right
here as well that
or yeah these tags really that show what
is actually linked so then they're able
to go in and
tweak this stuff understanding of the
fields and automations those are things
that my admin has set for me but
ultimately if they want to whoops if
they want to change the form details
landing page stuff like that they're in
complete control to do that that's not
going to affect the sync at all it's
just where they see the concept of
linking
that that comes into play so for
instance these fields these fields are
also something too that you can edit and
change
going into your to Fields let's just
collect phone number for instance
I then go over here into the sub user
and phone number has now been added if I
want to make email the first field on
the form
email is now the first field on the form
but then when my sub user comes in and
says no I want to own this and change
things
It'll ask them you know confirm if they
should do that and then now when these
changes are made like now email is going
to go back down to the bottom
that is not going to happen anymore for
this for this sub user who has decided
to take the reins a little bit more and
again look right here
this
uh
you can now see that the fields are not
linked anymore
and so really quickly I know this is
running a bit on the long side
I just want to show you
also at the system like when you when
you go to or rather
yeah when you go to the scheduled
emails you can also see that these
emails have been scheduled based on
based on that sign of form and those
scheduled sends that were created you'll
see the these as well
right here
in your scheduled emails and you can
look at these audits as well to see
um
what all has been automated there same
goes for autoresponders
these are autoresponders that are on
linked signup forms and you've got the
audit right there basically anywhere
that a link exists there's an audit
Trail there for you to be able to see
who this affects
and great so I hope that this has all
been helpful definitely reach out to us
if you have questions we know that
there's a lot here this can get a little
bit complicated but hopefully this
resource is helpful
Part 3 - Leveraging User Merge Tags For Directing Traffic To Users' Sign Up Forms
Lastly, here you'll learn how to associate a Form with a User Merge Tag, which will allow you to add Linked Forms to Shared Landing Pages so your clients can have their personalized Forms on the Landing Page!
When you tie this all together, it'll make Coupon Clubs and another promotional pages super easy for your clients and scalable for your business!
all right so here's where things start
to get really exciting and where the one
to many is taken to another level so you
are able to use merge tags to direct
traffic to your users specific signup
forms so in other words you can
basically just make a user merge tag
that
will that will be a link that directs
people
straight to your user's
specific uh sign up form landing page so
this merge tag can then be put into say
you know like a landing page that you
are Distributing through social media
maybe through a party um and then
everything just happens automatically
it's just their their unique links and
it's really easy to set up too which is
fantastic so the first PL or the first
step is to in your account go to your
user settings
scroll down and create a merge
tag so I'm going to make
this and leave that value blank because
that's going to be automatically filled
in by the system for
you so we've got our merge tag right
here I'm going to go to sign up forms
and now we're going to associate that
mer mer tag with this sign up
form so we go to the admin and then it's
right here assign short link to user
merge tag click on that and we're going
to choose that merge tag right here and
don't forget to scroll down and hit
save so now let's go check this
out we're going back to the user
settings because what I want to see is
look at this now there is a a direct
like now that that merge tag is
associated with my sign up form uh the
sign up form uh short
link so let's go take a look at a
subuser who has this signup form shared
with him going go over here and I'm
going to refresh this page looking at
his uh user merge
tags and look at this this coupon Club
has been added
there and most
importantly his unique signup form
landing page is linked there so kxc are
the last three letters here because
we're looking for a difference in these
landing pages this one is F this is
v0a so that what this means is that
every single user who I have shared this
landing page with now now in their
accounts has a a user merge tag that is
set to their specific landing pages so
now all that's left for me as an admin
is to use this merge tag say in a an
template that I'm going to be sharing
with people so let's go into these this
email template
here and all you have to
do is use that that merge tag
and then when people go to that user's
landing page they're going to see the
link that is to that users sign up form
and so this makes Distributing all of
this and building signups with all of
this automation for the coupon clubs
really really easy to set up for all of
your users and all the user has to do is
just post those those social posts out
there that youve been creating for them
and it's going to automatically be
driving people to their signup forms
filling out their surveys and signing up
for their coupon clubs and then all you
have to do is just you know post the uh
or or add those schedule those emails
for those templates and for those signup
forms and it's just going to
automatically all go out so very very
easy one to many stuff here and again we
know that some of this uh some of this
setup here might take wrapping your
brains around it a little bit it's some
complex stuff so definitely reach out if
you have uh questions for us we're here
to help you with the setup and really
really excited
